How we check your month

Vera is the part of SoldAnchor that verifies your books. It is not an assistant and it is not AI. Every payout match and every check below is plain arithmetic in ordinary code. No AI takes part in Vera's checks.

Step one: every payout to a deposit

Each payout a marketplace says it sent is matched to a deposit in your bank statement, to the cent. A payout with no deposit, or a deposit that does not match, is listed, not hidden. A payout that lands in the next month is shown as that, not as missing.

Step two: eight checks

  1. A payout that arrived short or over. The marketplace said one amount and your bank received a slightly different one.
  2. A refund where the item is still marked sold. The money went back but your inventory does not show the item returned.
  3. The same charge twice. Same account, same amount, near-identical description, a few days apart.
  4. A fee rate that moved. A marketplace’s fees as a share of its sales moved compared with last month.
  5. A sourcing trip counted twice. Two confirmed trips that look like one, which would overstate what your stock cost.
  6. A refund is larger than the sale. More money went back than came in for that order.
  7. Fees with no order. Fees charged that match no sale in the reports, when a large share of a platform’s fee lines have no order, which usually means a report is missing.
  8. A file does not match what was booked from it. For each sales or fee file you upload, what the file’s rows add up to is compared with what the books hold for those rows, row by row, and any difference is shown with the file name and the amount. Bank files and Etsy deposit files are checked by the payout match instead.

A ninth check, a sale with no cost recorded, is built for item-by-item cost tracking. It is not switched on while every account uses cash basis.

What happens when a check finds something

It is shown with the records it came from. You or your bookkeeper decides what it is. Nothing is changed silently, and every change is recorded and can be reversed.

Who signs

On Managed and Profit Review a bookkeeper reads the month and signs it. On Books and Insights you approve it.

What this is not

This is bookkeeping. It is checked, not an audit, and nothing here is tax advice. If a file has a row we do not recognise, we stop and ask rather than quietly skipping it.
